Drill |
Tartan Day is being held Saturday April 4. We will gather at 2:30 at the foot of the capitol mall and march up to the capitol steps for a program starting at 3:00. The inclement weather backup plan is to gather in the rotunda. We will be firing our muskets as part of the program, though not in the rotunda.
We have NEW THINGS to teach and learn. Knitting! Hail shot! Cursing! EVERYONE can benefit from this weekend.
We will set up on Friday, grab some supper in town, then begin teaching at 7:00 PM on Fri; if you can't come for setup, try to arrive by them. We have a busy weekend full of activities. We want to shoot off, and teach, every kind of ordnance we own. We want to teach a list of stock Gaelic phrases; greetings, please, thankyou, curses, etc. Since everyone was used to knit, we will teach knitting!
If you want to muster in Being in Charge of a Meal (level 3, I think?), please let Julie Yoder know (julieyoder@juno.com) so she can leave the planning and shopping for that meal to you! If you feel insecure, you can talk with either Julie or Mia (mia_mcdavid@comcast.net) about how to do this. Remember to save receipts so the Col. can pay you for the groceries!
Mark your calendars!
Yours in service,
Mia
One proposal for a future trip was to head south to meet with a group from Texas. Lisa Gillstrom McCanna has the details on the Texas group. This is only one possibility, if you know of other likely events that should be considered, please get the details, including dates and location to staff. staff@clanntartan.org Staff needs to get any proposals so they can decide on feasibility and worth before bringing it to the board. The board then needs to decide on the financial aspect. Please get any ideas to staff as soon as possible, be sure to include as much pertinent information as is available.
A lot of valuable information is in the current Clann Tartan Manual.
You can either bring your goods to Heidi at events, or entrust them to her beforehand. We ask that items be small and not terribly fragile if Heidi is to transport them.
Thank you for your support of Clann Tartan.

Board Members Present: Julie Yoder, Bruce Yoder, Glenn McDavid, Cate Hesser, Sean McCanna, Betsy Bolton
Staff Present: Mia McDavid, Margaret Kirkpatrick, David Vavreck, Laura Swenson, Lisa Gillstrom McCanna, Mike Eastling, Bryce Eno, Anthea Cross
Other members present: Sarah Shaftman, Heidi Johnson, Laurine Ford, Mary McKinley, Rich Mueller, Faith Eastling, Karen Bastien, Mark Hansen
Minutes of the January Board meeting accepted as amended.
VP: Absent.
Secretary:Nothing new.
Treasurer: Presented report for the 10 months of the fiscal year ending January 31. The year-to-date deficit is $789. We had a budgeted $1400 deficit for the entire fis abocal year, so we are doing much better than planned. Our total cash on hand is about $7600.
Quartermaster: We have the new tire for the trailer. Sean will get it mounted when the weather warms up. Bruce suggested that since we now have a spare tire for the trailer, we should make sure we have a suitable jack. This is clearly a good idea and we will look for a cheap one.
Camp and Company Reps: Nothing to report.
Music Guild: Thanks to Laura for printing the broadsides and to David for bringing his guitar. The guild is going well, but it needs more men. This is a Clann-wide problem.
Dance Guild: Going well. Needs more men (see above).
Fiber Guild: We have an arisaid for waulking at the 2009 MSF&HG. Mia has received a request to weave another one to be waulked in 2010. She is reading an excellent book on spinning and will write a review for the newsletter.
Sword Guild: Looking at singlesticks for training. They are in the proposed budget. Sites and dates for meetings are still TBD.
Historic Site: Under snow, obviously. Plans for the 1st house have been prepared. Laura will contact Don about scheduling work weekends for 2009. Laura has pictures from the plans and will write an article about them for the newsletter. David gave some background about the site for the newer members.
Garden guild: Laurie Ford is growing things. She will need help at harvest time.
Scottish Ramble: Feb. 14-15. Plans are set. We will have about 30 people on each day. .
Albert Lea Fair: Also Feb. 14-15. The McCannas will be there with the Baldwin boys. Also John Debnam. Don Newsome will also be there and will deliver the bucket we ordered. He will be expecting a check.
Moorhead: March 14. Indoor event. Members will need to find local lodging. We will be getting coupons for lunch. This was a good show last year. We were appreciated.
Charles City: Late April. No information yet, even about whether the show will happen.
Woodville: Friday, May 1 (school day) is definite. Saturday, May 2, is uncertain. There is an issue about facilities being available. This is becoming something of a tradition at the school.
Minnesota Scottish Fair & Highland Games: Saturday, May 9. Setup Friday night. We will be further away from the bagpipes this year.
Dispute Resolution Process: The proposal as described in recent newsletters was presented. After some discussion a motion was presented that any such issue can be dealt with by the existing mechanisms in the bylaws: If someone has a problem they should go to the Camp and/or Company Reps. If the issue is not settled there the Board will get involved. No additional legislation is needed. This motion was carried with one abstention.
Publicity: Lisa suggested that we get listed in the Highlander. It is free. We will do it. Lisa will take care of it.
Budget: Bruce presented the proposed budget. There are some shows which we are not sure we can count on. The proposal includes revenue from Aberdeen but not from Hudson or the MN Ren Faire.
There was some discussion of the need to have adequate attendance at shows which we have contracted, with particular reference to White Oak last year. We need to make every effort, including contacting members individually, to get people for shows. Only after such effort has failed to yield the necessary 6 members will we cancel. We need to make sure all members are aware of our obligations at every show.
The membership voted to increase the budgeted garage expense from $600 to $1200.
The necessity of the budgeted expenditure for a new trooper tent to replace an existing worn tent was challenged. After discussion, the members voted to retain the item in the budget.
The proposed budget was approved with the change to the garage expense as noted above.
Board Elections: These four members were all elected by acclamation to terms ending in Feb 2011.
Membership dues: Bruce announced that he is collecting dues for the new fiscal year.

Date: March 2 2009 Location: McDavid's house Attending: Anthea, Margaret, Betsy, Annie, David, Mia, Mike, Julie Newsletter -- We need to get necessary articles written, and get them in the newsletter in a timely manner. Articles needed every month are as follows: upcoming shows (Julie), drill (Betsy), next members meeting (Julie). Article needed in March or April and in September is "What is Expected of Members at Shows" which Mia will write and see that it gets in at the appropriate times. Anthea will contact John about the website to make sure it will have the same address Then Mike will have cards made. Events -- Moorhead -- what Clann equipment do we need? The following is a list of the dates of the events that are currently on the schedule for this year. The staff has met and decided to keep this running list of events in the newsletter to give you a chance to get an idea of what is going on this season as well as keep you updated to changes in the schedule.
The column titled status will include the following information.
Tentative- this means that an event organizer or Clann has expressed a strong enough interest in doing this event that it warrants reserving space on the calendar for the event.
Pending- this is the next stage of an event. This means that the Contracts Administrator has entered serious discussion about Clann doing an event but we are still not committed to the event. You should however if possible think about whether or not you may be able to attend this event.
Scheduled- this level means that the board and staff have approve the event and we are committed to providing manpower to making the event happen. When an event is assigned this level please let Julie know as soon as possible if you can or can not attend this event.
Canceled- This means that for various reasons an scheduled event has been removed from the current season. We will try and give as much notice as we can prior to canceling an event.
If you have any questions about this, please feel free to contact me regarding this matter
Thanks,
Lisa Gillstrom McCanna
