Members' Meeting and Staff Elections Follow-ups

Good friends,

We would like to thank Anthea Potter for taking on the role of Head Camp Follower these past two years and Laura Swenson for her work as Camp Representative. Thank you, Elizabeth Erickson, for volunteering to act as Assistant Head Camp Follower--we appreciate your willingness to serve!

As you may be aware, at the Members' Meeting, we were unable to elect a Head Camp Follower or Camp Representative. We are also looking for a person to fill the role of acting as the sunshine committee for the organization. Because the role of HCF and Assistant HCF are so closely related, the roll of Assistant HCF is being left vacant until such time as we have a Head Camp Follower for an Assistant HCF to serve under. The role of Camp Rep may remain open until the next Members' Meeting in February. The roles of Corporal and the role of Goodwife are "at will", so if you are interested in any of these positions--Corporal, Goodwife, Head Camp Follower or Camp Rep--please let the members of Staff or Board know.

Submissions for the Newsletter!

Items you can submit include research articles, character sketches, and other items pertaining to living history and Scottish Culture. Email your items in either plain text, or MS Word format to newsletter at clanntartan.org or snail mail to our postal address.

Items must be received by the 15th of each month to be considered for inclusion for the upcoming months issue. Mailed submissions will not be returned unless requested. All pertinent submissions will be considered as space permits. All research articles must reference at least three sources. Submissions may be broken in multiple parts.

Deadline for articles to go in the January newsletter will be December 15.

Board Meeting, October 15, 2013 (Amended)

Board Meeting: October 15, 2013

In attendance:
Board members present: Vice President: Karen Bastien, Treasurer: Bruce Yoder, Secretary: Betsy Bolton, Quartermaster: Mike McCarty, Company Rep: David Vavreck. Also in attendance: Contract Rep: Mia McDavid

I)  Minutes: August minutes were approved as amended. September minutes were approved without amendment. 
II) Reports:
	a) Vice President: No report.
	b) Treasurer: Gave financial report. Not much activity in September. We have been paid for our October shows.
	c) Secretary: Many changes and tasks from previous months have carried over. They are as follows: Welcome cards for new members, Members Meeting Report for August, Cookbook. Completed was research into card catalog cards and envelopes for the regiment’s library.
	d) Quartermaster: Hail shot repairs are complete. The loose serpentine will need to be replaced--the bronze washer repair was not sufficient. One of the coolers has broken and its replacement should be discussed after an inventory of the current cooler selection has been made. The sealant on the wooden buckets did not seal appropriately and he is considering other methods.  
	e) Camp Rep: Position vacant. 
	f) Company Rep: An issue was raised at Big Island that he will be dealing with.
III) Guild Reports:
	a) Music: No meeting in October. November meeting is on 11/7 at Bruce and Julie’s from 7 to 9 pm.
	b) Dance: Has returned to the church location, but with the current number of dancers, the cost to use the hall is unsustainable. 
	c) Fiber: Nothing to report
	d) Sword: No report
	e) Historic Site: Nothing to report
IV) Events:
	a) Big Island: Went fine.
	b) Mankato: Went fine.
V) Old Business:
	a) Cannon: This was tabled for the November Members Meeting and/or Board meeting.
	b) Cauldron: No change.
	c) Flag silk: No change.
	d) Muster committee: No change.
	e) Library and the missing book: Secretary to send an email to members requesting it at the Members Meeting. 
	f) Newsletter via mail: These have not been getting sent out. Due to the Members Meeting in the October newsletter, the Secretary will review the list of members who were stated as needing a paper copy in previous meetings and will send them out on a one time basis--a request for a volunteer to mail these will be made at the Members Meeting.
VI) New Business:
	a) Clarification from previous email: the items returned to the Quartermaster after being wet were not from tactical, they were from the second muster. The Quartermaster will be doing as much repair as possible over the winter.
	b) Glenn’s Resignation: the Secretary received Glenn’s notice that he is resigning as the editor of the newsletter after the November edition. He would also like to get away from being the webmaster for the organization. The Secretary would like to extend a heartfelt thanks to Glenn for his many years of work on the newsletter as well as the website. A call will be made at the Members Meeting to look for someone with an appropriate skill set to help the Secretary with this in the future.

We will sing and play music of many styles and places from our period. Bring your voice and/or your instrument(s). Neither need be period correct.

The Yoders have graciously offered to host music once a month. We will meet at their house at 4736 12th Ave S, Minneapolis, from 7 - 9pm the 1st Thursday of each month.

Historic Site

Clann Tartan has our own historic site near Duluth MN. Dun Gowan is an ongoing project, which is the site of Gaffneyis Annual Tactical in June. We are finishing the fort and beginning the construction of a village this year. The work weekends for this year will be May 18 & 19 (weather permitting), June 1 and 2, June 29 and 30, September 7 and 8 with October 19 and 20 being our last weekend to work (weather permitting).Contact David Vavreck at 612-353-1237 or baethan1630 at yahoo dot com for further information, or to volunteer to help.


Calendar of Events

Be sure to contact your staff if you plan on attending a show event. Try to give at least a ten day notice when possible. This allows proper planning for the feeding of our members, and in some cases is required by event organizers to allow entry as a participant.

Event Schedule:

Hello all,

The following is a list of the dates of the events that are currently on the schedule for this year. The staff has met and decided to keep this running list of events in the newsletter to give you a chance to get an idea of what is going on this season as well as keep you updated to changes in the schedule.

The column titled status will include the following information.

Tentative- this means that an event organizer or Clann has expressed a strong enough interest in doing this event that it warrants reserving space on the calendar for the event.

Pending- this is the next stage of an event. This means that the Contracts Administrator has entered serious discussion about Clann doing an event but we are still not committed to the event. You should however if possible think about whether or not you may be able to attend this event.

Scheduled- this level means that the board and staff have approve the event and we are committed to providing manpower to making the event happen. When an event is assigned this level please let the HCF know as soon as possible if you can or can not attend this event.

Canceled- This means that for various reasons an scheduled event has been removed from the current season. We will try and give as much notice as we can prior to canceling an event.
