Board and Staff Minutes

Clann Tartan Board Meeting, April 17, 2012

Present were Mary, Karen, Bruce, Marty, Anthea, David, Mia, and member
Rachel Hadley.

Previous month's minutes were approved as written.

Vice President: Brochures are ready to go to print thanks to Mary's
help. We will print one color and one b/w and see how they look.

Treasurer; we have a surplus of $796 for the year. Bruce is also
investigating the Living History Association as a resource for
insurance; we must have a new policy by mid-May.

Secretary had no report.

Quartermaster; carpentry help for wooden muskets did not materialize.
David also talked to Don Chesney and the repairs that Don had been asked
to do will be done "soon."

Camp and Company reps had no reports.

Guilds reports: David has access to more soldier songs. Music was
canceled for May because of conflict with Woodville setup.

Dance; there are donors who will make sure the St. Christopher's kitty
stays healthy, so we will remain there for present.

Fiber; we will waulk a new length of tartan at Scottish Fair at 11:00;
Katherine Grant will lead us.

Sword: Marty will lead sword drill Saturday April 21 right after
marching drill.

Historic Site: first work weekend will be June 9-10, the week before
Tactical.

Events:

Woodville; we must collect questions for the students to find answers
to; Mia will be sure that this happens. We have a good crew signed up.

Scottish Fair; Mia is to call Liz about the waulking and the contract.

Old Business:

Marty will repair the trailer straps and get it to safety inspection.

The garage floor gets wet when it rains. Marty will put skids on the
floor to put our stuff on.

We will accept John O'Duggan's very kind offer to sell us his musket
and complete kit as well as the stock he made for us. Bruce will take
the stock and try to get it finished for the other musket.

New Business:

Board decided to reimburse David for his travel and registration
expenses to the School of the Renaissance Soldier.

One musket, which Don has, has had the browning removed. David
explained about browning; it is a controlled and protective layer of
rust that is put on to prevent other more damaging rust. David will
write an article for the newsletter on this browning, so people know not
to go and clean it off.

Next meeting will be May 15th at 7:00 at Mary's office.

Respectfully submitted,

Mia McDavid

Event Schedule:

Hello all,

The following is a list of the dates of the events that are currently on the schedule for this year. The staff has met and decided to keep this running list of events in the newsletter to give you a chance to get an idea of what is going on this season as well as keep you updated to changes in the schedule.

The column titled status will include the following information.

Tentative- this means that an event organizer or Clann has expressed a strong enough interest in doing this event that it warrants reserving space on the calendar for the event.

Pending- this is the next stage of an event. This means that the Contracts Administrator has entered serious discussion about Clann doing an event but we are still not committed to the event. You should however if possible think about whether or not you may be able to attend this event.

Scheduled- this level means that the board and staff have approve the event and we are committed to providing manpower to making the event happen. When an event is assigned this level please let the HCF know as soon as possible if you can or can not attend this event.

Canceled- This means that for various reasons an scheduled event has been removed from the current season. We will try and give as much notice as we can prior to canceling an event.

If you have any questions about this, please feel free to contact staff regarding this matter

Thanks,
Your Staff
